905.1R1 - Community Use of School District Facilities & Equipment Regulation

1. Alcoholic beverages will not be brought to or consumed on school grounds.

2. Smoking is prohibited in school district facilities or on school district grounds.

3. After a school district facility, site, or equipment has been used by an entity, cleaning, including restoring the facility, site or equipment to the condition it was in prior to its use, will be done by employees assisted by a committee from the entity. The fee charged to the entity for the use of the facility, site, or equipment will include these costs. However, if excessive costs are involved in cleaning or otherwise restoring the facility, site, or equipment to the condition it was in prior to its use, the board reserves the right to charge the entity for these excessive costs.

4. Entities are required to stay within the area of the school district facility or site and use only the school district equipment authorized by the school district for use by the entity. Other school district facilities, sites, or areas in the school district building or equipment are off limits to the entity.

5. A cancellation after the facility or equipment is made ready for the entity will be charged at the full rate. Cancellations made prior to that time will be charged a minimum cancellation fee or the costs incurred to the school district in anticipation of the entity's use, whichever is greater.

6. Persons representing non-school organizations will need to produce certificates of insurance or be willing to sign a release or waiver limiting the school’s liability for claims when using the school facilities. These certificates or documents will be kept on file and updated on an annual basis.

7. The use of kitchen equipment is not normally included in the usage agreement. Approved usage of the school kitchen for preparing or reheating food will require the presence of school food service staff. The cost of the labor for the food service staff will be charged to the group using the kitchen. If a group uses the kitchen for serving purposes only, a food service person does not need to be present.

8. Groups using the gymnasium for recreational purposes must designate one person who will be held accountable for turning off the lights and for seeing to it that all doors are properly closed and secured when the group is finished using the gym. Locker rooms and other areas are to be left in the condition they were prior to use.

9. School buildings will not be available for non-school use on Saturdays, Sundays, or holidays unless approved by the Board of Education or Superintendent.
